Senior HubSpot Administrator

Your Mission

We are looking for a Senior HubSpot Administrator to own the architecture, day-to-day administration, and strategy of our HubSpot instance. This is a highly technical, highly cross-functional role: you will report to the VP of Revenue Operations and partner with Sales, Marketing, and Customer Success/Support to scope, build, QA, and ship HubSpot solutions that directly support revenue growth.

You know HubSpot inside and out — not just the administrative basics, but the technical depth of workflows, triggers, APIs, and data structure that most admins never touch. You are comfortable whiteboarding a workflow architecture and configuring the underlying fields, pipelines, and automations yourself.


Responsibilities

Project Scoping & Delivery

  • Act as a primary point of contact for HubSpot-related project requests across Sales, Marketing, Service, and Revenue teams.
  • Work with cross-functional stakeholders to translate business requirements into clear technical scopes, timelines, and build plans.
  • Independently build, configure, QA, and launch solutions in HubSpot, then communicate final outcomes back to stakeholders.
  • Manage multiple concurrent projects, prioritizing based on business impact and Revenue Operations objectives.

HubSpot Architecture & Administration

  • Own core HubSpot administration: properties, pipelines, custom objects, permissions, and data hygiene.
  • Design and build advanced workflow automation, including multi-branch workflows, custom-coded workflow actions, and complex trigger logic across Sales, Marketing, and Service Hubs.
  • Maintain and evolve CRM architecture, ensuring data structure supports scalable reporting and cross-team use cases.
  • Lead data migration projects in and out of HubSpot, ensuring data integrity throughout.
  • Build, augment, and maintain API integrations between HubSpot and other systems, including NetSuite.

Revenue & Marketing Enablement

Own or support lead scoring models, lifecycle stage definitions, and funnel reporting to help identify and act on revenue opportunities.

Partner with Marketing to optimize funnel conversion through better data, automation, and lifecycle management.

Partner with Support/Service teams to build and maintain helpdesk and ticketing workflows within HubSpot Service Hub.

Support Revenue Operations in building and maintaining subscription and billing workflows, particularly around HubSpot-to-NetSuite integration.


Qualifications

7+ years of hands-on HubSpot administration experience across Sales Hub, Marketing Hub, and Service Hub (helpdesk/ticketing).

HubSpot certifications such as: Managing HubSpot Account as an Admin, Marketing Hub Software Certification, and Revenue Operations Certification.

Proven track record scoping, building, and delivering HubSpot projects independently, end-to-end.

Experience with HubSpot's Revenue tools (subscriptions, billing) strongly preferred.

Experience integrating HubSpot with NetSuite is a strong plus.

Deep knowledge of HubSpot fundamentals: custom properties, pipelines, lists, custom objects, permissions, and data hygiene practices.

Advanced expertise in workflow automation, including complex trigger/branching logic and troubleshooting broken automations.

Strong understanding of CRM data structure and architecture, with the judgment to design scalable, maintainable systems rather than quick fixes.

Hands-on experience with API integrations and data migrations (HubSpot API, iPaaS tools, or custom integration builds).

Working knowledge of lead scoring models, lifecycle stage management, and funnel optimization.

  • Excellent written and verbal communicator — able to explain technical concepts to non-technical stakeholders and present finished work clearly.
  • Strong project management instincts; comfortable owning a project from scoping through QA to launch.
  • Detail-oriented, with a QA-first mindset before shipping any build to production.
  • Self-directed and comfortable working remotely with cross-functional teams across time zones.
